Room reservations

1) Reservation and confirmation

The reservation made by the customer is binding on both the hotel and the customer after the reservation has been confirmed by the hotel/reservation center. This reservation can be made verbally or in writing. For telephone reservations, the call serves as the confirmation. If possible, the hotel will give a written confirmation, which must mention the agreed services, prices and cancellation conditions.

A room reservation can only be made by a person over the age of 18. The person booking a room for a minor is responsible for the minor. A minor staying alone must have a permission document signed by his/her guardian, which states the minor’s name, date of birth, date of stay, guardian’s name and phone number.

2) Check-in and check-out

Unless otherwise agreed, the room is available to the customer from 3 p.m. on the day of arrival and must be handed over no later than 12 a.m. (12:00) on the day of departure.

In certain cases, later handover of a room is possible for an additional fee (cost EUR 10 per hour), if the booking situation allows it. Please contact the hotel reception about the possibility of a later room handover.

3) Late arrival

The reserved room is kept reserved until 6 p.m. on the day of arrival, unless a later time has been agreed.

4) Hotel room cancellation and non-arrival

The agreement on the hotel room reservation is binding for both parties. If either party breaks the contract, he is obliged to pay compensation to the other party. If the hotel incurs special costs due to the reservation, the customer will reimburse these costs in full.

The compensation for non-use of a hotel room for private customers is determined as follows:

  • If cancellation has taken place no later than 6 p.m. on the day before arrival, no compensation is required.
  • If the cancellation takes place later than the above time, the customer is obliged for compensation (one day).
  • If the customer fails to arrive without having canceled the order, the customer is obliged for compensation (one day).
  • As an exception, the applying terms for various campaign-priced products and offers are defined separately.

5) AuroraHut cancellation and non-arrival

The contract for booking the AuroraHut boat igloo is binding for both parties. If either party breaks the contract, he is obliged to pay compensation to the other party. If the hotel incurs special costs due to the reservation, the customer will reimburse these costs in full.

The compensation for non-use of AuroraHut boat igloo for private customers is determined as follows:

  • ​​If the cancellation has taken place no later than 30 days before the start time of the reservation, no compensation is required.
  • If the cancellation occurs less than 30 days, but not later than 14 days before the start time of the reservation, the customer pays 50% of the price of the reservation.
  • For cancellations that occur 14 days before the start time of the reservation, the customer pays 100% of the price of the reservation.
  • If the customer fails to arrive without having canceled the order, the customer pays the entire price of the reservation.

6) Departure before the agreed time

If the reservation is made for a certain period, and the customer leaves before the agreed time, the customer must pay the agreed price for the unused time.

7) Single holiday reservations (treatment packages etc.)

Cancellation can be made free of charge 7 days before the start of the holiday.

If the cancellation is made less than 7 days before the start of the holiday, 50% of the value of the holiday will be charged.

8) Cancellation of treatments and individual experience product bookings

Treatment and experience product bookings must be canceled no later than 6 p.m. on the day before the treatment/experience, otherwise we will charge the normal price.

GROUP RESERVATIONS

If possible, the hotel will give a written confirmation, which must mention the agreed services, prices and cancellation conditions.

2) Check-in and check-out

Unless otherwise agreed, the room is available to the customer from 3 p.m. on the day of arrival and must be handed over no later than 12 a.m. (12:00) on the day of departure.

3) Late arrival

The reserved room is kept reserved until 6 p.m. on the day of arrival, unless a later time has been agreed.

4) Cancellation of group reservation

The booker of a group reservation can cancel the accommodation reservation without any special reason as follows:

  • without costs no later than 30 days before the start of the reservation
  • if the reservation is canceled later than 30 days but no later than 14 days before the start of the reservation, the hotel has the right to charge 50% of the accommodation price from the person making the group reservation
  • If the reservation is canceled later than 14 days before the start of the reservation, the hotel has the right to collect the full price of the reservation from the person making the group reservation.
  • Kunnonpaikka will charge the full price for rooms that have not been canceled
  • Name lists and special diets must be announced no later than 7 days before the start of the event

5) Terms of payment

Group reservations: The hotel will agree on the terms of payment and advance payment arrangements with the booker in advance. If the booker is a company and wishes invoicing later, an invoicing agreement between the company and the hotel is required in advance.

RESERVATIONS OF COMPANIES AND OTHER GROUPS

1) Reservation and confirmation

The reservation made by the customer is binding on both the hotel and the customer after the reservation has been confirmed. This reservation can be made verbally or in writing. In reservations by phone, the call serves as the confirmation. On request, the hotel will give a written confirmation, which must mention the agreed services, prices and cancellation conditions.

Cancellation without extra costs is possible as follows:

  • for events of more than 100 people, agreed on a case-by-case basis
  • for events of more than 50 people 30 days before the event
  • for events of fewer than 50 people 21 days before the event

Invoicing on canceled reservations:

  • for events of more than 100 people, agreed on a case-by-case basis

for events of more than 50 people:

  • 29–7 days before the event 50% of the value of the event
  • 6–0 days before the event 100% of the value of the event

for events of fewer than 50 people:

  • 21–7 days before the event 50% of the value of the event
  • 6–0 before the event 100% of the value of the event

Cancellation of an event with special arrangements:   

If the cancellation of the event results in special costs (e.g. personnel costs, license fees, admission tickets, program, orchestra, special decoration or exceptional technical equipment), the booker is obliged to pay these incurred costs when canceling the event.

2) Changes in restaurant reservations and number of participants

The customer is obliged to notify the final number of participants and confirmation of serving at least 14 days before the start of the event, to which we allow +-10% deviation 7 days before the event. We use the number of people confirmed 7 days before the event as the basis for invoicing.

If the change in the final number of participants is announced less than 7 days before or is not announced at all, the service provider has the right to charge according to the number of people and the price according to the offer. If the actual number of participants is greater than the confirmed amount, the booker will be invoiced for the actual amount.

If the number of participants in the order is substantially reduced, Kunnonpaikka has the right to move the event to a room corresponding to the number of people.

3) Terms of payment

The booker is responsible for all costs, unless otherwise agreed in writing. Invoicing requires a valid invoicing agreement with the hotel. If necessary, the hotel can issue a full or partial advance invoice for the reservation. If the agreed full or partial advance invoice is not paid by the due date, the hotel has the right to cancel the reservation. We reserve the right to make changes.

4) Pricing changes

The hotel reserves the right to price changes, if they are based on changes in public fees imposed by legislation or authorities. The customer will be notified of this separately in writing. We reserve the right to change the price even if the reservation changes (dates, duration of the reservation, number of participants, facilities, etc.)

5) Force majeure and exceptional situations

Kunnonpaikka has the right to cancel or change the reservation due to circumstances beyond the hotel’s control (force majeure, e.g. strike, lockout, fire, war, significant risk situation at the hotel caused by a universally dangerous infectious disease, authority order, etc.). Any harm resulting from them will not be compensated. The hotel can also end or cancel the event at any time if it interferes with other activities, violates the terms of the contract or endangers the hotel’s reputation or safety.

6) Serving and drinks

The hotel has the exclusive right to serve food at the event. The hotel has licensing rights to serve drinks. Consuming your own drinks in the serving area is prohibited under the Finnish Alcohol Act.

7) Special arrangements

If the occasion requires special permits, a program, an orchestra, special decorations or exceptional technical equipment, the customer is obliged to pay these costs, unless otherwise agreed.

8) Renovations

When the hotel agrees to renovate or repair its facilities after making the reservation, the hotel undertakes to inform about the matter. The hotel’s renovation or repair project is not grounds for terminating the contract, unless otherwise agreed between the parties.

9) Notices and dispute resolution

The customer is obliged to immediately make a note to the hotel staff about any defects that he has observed, which can be corrected already during the use of the service. Claims for compensation and remarks about ordered services that could have been corrected during the use of the service must be made in writing to the seller within two weeks of the end of the reservation.

If the contracting parties cannot reach an agreement on the matter, the customer can refer the matter to the Consumer Complaints Board. If no agreement can be reached, the dispute will be heard in the district court of Pohjois-Savo. Finnish law applies to the contract.

PRICE CHANGES

In terms of prices, Kylpylähotelli Kunnonpaikka reserves the right to future price changes due to e.g. Kylpylähotelli Kunnonpaikka’s suppliers or VAT changes. We aim to notify the customer of price changes as soon as possible. These cancellation conditions are followed, unless otherwise stated in the offer or booking confirmation. By confirming the reservation, the customer agrees to these cancellation conditions. Any disagreements are primarily resolved through mutual negotiations.

INSURANCE

We recommend travel insurance to our customers for possible exceptional situations and cases. The hotel has no obligation to accept a cancellation without cancellation costs, e.g. on the basis of a medical certificate or similar.

If the reservation is made for a certain period, and the customer leaves before the agreed time, the customer must pay the agreed price for the unused time.
